The IDF Virtual Congress 2023 offers attractive individual and group rates to facilitate attendance from across the world. Discounted rates are available for healthcare professionals in low- and lower-middle-income countries, students and IDF School of Diabetes premium learners. Individual rates

All rates indicated in the table below are in Euro and inclusive of Belgian VAT (21%). The VAT applies to all individuals, regardless of country of residency, and private companies that are registered in Belgium.

To register, individuals must be at least 18 years old. To register at a discounted rate, a document to prove eligibility is required.

IDF is pleased to offer a select number of free registrations for its IDF Virtual Congress 2023 to young researchers from low- and middle-income countries. These grants have been made possible with the support of AstraZeneca and Sanofi. The application process is now closed.

Terms and conditions

A registration confirmation/receipt is sent by email after the IDF Congress Secretariat has received the fully completed online registration form, the related payment and any necessary documentation.

All rates are in Euros and inclusive of 21% Belgian VAT. This is applicable to private individuals and Belgian companies. VAT does NOT apply to non-Belgian companies (EU and outside EU).

Payment should be made by credit card. The card owner’s name and the expiry date and security code of the card must be provided.

The name and address of the participant and the invoice number must be clearly stated on the bank transfer.

Only fully completed online registration forms are accepted. The registration is only valid upon receipt of full payment. If the full payment is not received by 27 November 2023, the registration will be cancelled.

All name changes must be made in writing by email to registration@idf.org.

A name change for a confirmed registration will be subject to an administrative fee of 20 EUR per participant. A new registration form for the substitute participant does NOT need to be submitted.

Notification of cancellation must be sent to registration@idf.org.

A cancellation fee of EUR 20 applies for every cancelled delegate. Please note that after 27 November 2023, no refund will be possible.

The cancellation will not be effective until a written acknowledgement is received from the IDF Congress Secretariat.

In the case of overpayment or double payment, refund requests must be made in writing and sent to the IDF Congress Secretariat by email, no later than 31 December 2023. An administrative fee of EUR 20 will be charged.

Refunds will be made in the same form as the original transaction. For original payments made by bank transfer, the cancellation notification or refund request must include all relevant information of the bank account to which a possible refund may be made.

Credit will not be given for unattended events or early termination of attendance.

The congress organisers reserve the right to alter or cancel any registration due to circumstances beyond their control, including, but not limited to, internet failure, system breakdown or failure of the virtual congress platform due to a power outage. In such a case, the congress organiser shall retain the registration fee and apply it to the meeting once the technical problem is solved and the virtual platform restored.

IDF is not responsible for delegates who are unable to successfully access the virtual IDF meeting. Each registrant must ensure that the technical requirements needed to participate in the virtual IDF meeting are met. They must bear any expenses associated with securing their personal connection to the meeting. This would include:

  • A stable internet connection with a minimum of 5Mbps (data speed) to follow the online programme
  • An up-to-date browser – preferably Chrome

The congress organisers reserve the right to modify the programme, which is published as an indication only.

Access to the virtual meeting requires a registration. Login details are assigned to individuals and must not be shared.

Personal and non-transferable login details will be sent with the confirmation of registration.

The IDF Virtual Congress 2023 allows for active participation through a chat and Q&A functionality. Unlawful harassment, derogatory comments or any behaviour that damages the reputation of IDF or harms other registrants is prohibited.

The reproduction and distribution of presentations is not permitted.

The IDF Congress Secretariat will collect and store all personal data for the preparation and execution of the IDF Virtual Congress 2023 only. Data protection is warranted in accordance with the General Data Protection Regulation (GDPR) on data protection and privacy for all individuals within the European Union.

IDF takes your privacy seriously, and we want you to clearly understand how we will use the personal data you supply when registering to attend the IDF Virtual Congress 2023. This represents the establishment of a contract between you and IDF.

By registering, you agree to share the personal data you provide with the other delegates who will attend the congress online, to enable effective networking and business exchanges to take place.

Other parties who did not attend the meeting will not be able to access personal data from the congress.

Pictures and videos from the IDF Virtual Congress 2023 can be used in IDF educational, news or promotional material, whether in print, electronic or other media, including IDF social media and other online platforms.

IDF reserves the right to crop, slice, treat and edit any imagery or photographs taken during the congress. The participant waives the right to inspect or approve the finished product, including written or electronic copy.

Additionally, all rights to royalties or other compensation arising or related to use of the name, photograph or biography are waived by the Participant, Participant’s agents or employees.

All photographs and video materials taken at the IDF Congress become the property of IDF. IDF related material may not be photographed, drawn, copied or reproduced without IDF’s written permission.

 Participants always have the right for their picture to be removed. Should you wish to have your picture or video removed, please contact us and we will take action accordingly.

IDF is not liable for system failures or platform crashes, as long as the cause is not intentional or caused by gross negligence on IDF’s part.

The congress organiser does not accept liability for, and the participant is to indemnify the congress organiser against, any claims arising from failure to provide any of the services contracted.

This contract is subject to Belgian law. Brussels in Belgium shall be the sole court of jurisdiction.

Group rates

The group registration procedure is available for groups of at least 10 people. One contact person must coordinate with the IDF Congress Secretariat. It is the sole responsibility of this contact person to distribute all relevant congress information to group members. A group contact person is not entitled to any of the group member benefits (access to the virtual platform). If the group contact person wishes to access the virtual platform, they will have to register as a participant.

To register a group, the group contact person needs to first create a congress profile through the registration platform. The congress profile gives access to the booking form for groups.

Group discounts

Group discounts only apply to the “Regular rate”  and “HCP reduced rate” categories.

Groups from low and lower-middle-income economies can benefit from the group registration procedure (free name change, group codes, initial registration without names) but are not entitled to group discounts on the base rate of €50/€75 euros.

All rates indicated in the table below are in Euro and inclusive of Belgian VAT (21%). The VAT only applies to private companies that are registered in Belgium.

To register a group, the group contact person must first create their congress profile through the IDF Virtual Congress 2023 registration portal. The congress profile gives access to the booking form for groups.

The group contact person should indicate the number of delegates to be registered.

Only fully completed registration forms will be accepted.

The discount is applied according to the number of participants in the initial group registration. After confirmation of a valid group registration, no further registrations can be added to the initial group registration and discounts are non-cumulative. Later registrations constitute a new and separate registration.

Terms and conditions

The following terms and conditions apply specifically to group registrations. The terms and conditions listed above remain valid for all other elements concerning registration to the IDF Virtual Congress 2023.

An invoice is sent by email to the group contact person after the IDF Congress Secretariat has received the fully completed group registration form. The payment for the group registration has to be transferred upon receipt of the invoice. A registration confirmation/receipt is sent to the group contact person as soon as full payment has been received.

The registration is only valid upon receipt of full payment. If the full payment has not been received by 27 November 2023 the group registration will be cancelled.

The IDF Congress Secretariat cannot be held responsible for double registrations/bookings of a participant made by the group contact person, by the individual in question or by another company/organisation.

After the IDF Congress Secretariat has received the completed group registration form and full payment, the group contact person will receive a list of codes which the group contact person has to distribute to group members. The group contact person must make sure that the following data for all group members is provided: First name, last name, nationality, gender and email address

The complete details for the group members must be provided no later than 27 November 2023.

Name changes must be sent by email to registration@idf.org.

Name changes received until 27 November 2023 are free of charge. After 27 November 2023, an administrative fee of EUR 20 will be charged for each name change. Only name changes advised by the group contact person will be accepted.

FAQs

Our registration process requires attendees to register for the entirety of the event, which spans four days , 4 – 7 December. This approach ensures that participants can fully engage with all the sessions, workshops and networking opportunities that the congress offers, providing a comprehensive and enriching experience for all attendees.

All registered participants will be able to watch on-demand recordings of programme sessions up to 30 days after the congress has concluded. You can watch any session at any time.

As the start of the congress approaches, all registered delegates will receive an email with their login credentials for the virtual platform. 

  • A stable internet connection is recommended to participate in sessions without experiencing interruptions.
  • A browser (e.g. Chrome, Firefox, Safari) updated to the latest version.
  • Cookie and pop-up blocking measures should be disabled as they may lead to access issues.
  • Recommended screen resolution: Full HD 1920×1080 pixels or higher.
  • Access through desktop or laptop computer is recommended for an optimal user experience. Only basic viewing features are supported on mobile devices and tablets.
  • The use of third party browsers on Apple devices is not recommended.

If you have difficulties accessing the virtual platform during the congress, please contact congress@idf.org for further assistance.

A dedicated helpdesk will available in the virtual platform and a dedicated IT technician will assist you with any technical issues you may encounter during the congress.

Throughout the congress, delegates will have the opportunity to interact with fellow participants, speakers and sponsors through our messaging system.

You can also participate in our live Question & Answer discussions, which will take place with the speaker panel after each session. The congress also features several Meet-the-Expert networking group sessions where you will have the opportunity to engage directly with our experts.

Yes, we will have live Q&A’s and discussions as part of our congress programme. If you miss any live sessions, you can still ask questions and/or provide comments throughout the duration of the congress.

You will also be able to send private messages to other participants who have given consent to be contacted during the congress.  Speakers and panellists will be available to answer questions through the virtual conference platform messaging system.

All live sessions will take place in Central European Time (CET; GMT +1). Please ensure that you check all the times carefully and convert them to your local time so you will be able to join the sessions live. You can use this interactive time zone map to see the relevant time zone in your area.

Recordings of the sessions will be available for view on-demand shortly after the presentations have taken place and can be viewed by registered participants for up to 30 days following the conclusion of the congress. Our e-poster gallery will be open for up to 12 months following the congress.

All programme sessions will be in English.

The IDF Virtual Congress 2023 has received 17.5 European CME credits (ECMEC®s) from the European Accreditation Council for Continuing Medical Education (EACCME®). Each participant should claim only those hours of credit that they actually spent in the educational activity. Please also note that participants can only claim the hours of credits for content watched during the time of the congress, 4 – 7 December 2023. Participants cannot claim credits for sessions viewed on-demand once the congress has concluded.

To download your CME Certificate of Attendance, you will have to login to the virtual platform and click on “My CME Certificate”. You will be asked to complete an evaluation form, which is mandatory and required by the EACCME®. Once you have completed the form you will be able to download your certificate.

Registered participants who have attended the virtual congress can download their certificate of attendance from the virtual platform once the congress has concluded.
